This Privacy Policy describes how we collect and use the personal information that you choose to submit to us (Greater Waco Legal Services, "GWLS") when using our website (the "Site"). It applies to all visitors of the Site, regardless of client or applicant status.

Data We Collect 

We collect information that you provide to us when you fill out forms on the Site, communicate with us by phone, email, chat, or respond to surveys we may offer. This information may include your name, address, telephone number, email address, and any other identifying personal information you provide when interacting with our client portal or other services on the Site. 

The personal information you are asked to provide, and the reasons it is needed, will be clearly explained at the time you provide the information. If you contact us directly, or if we contact you (via phone, email, or in person), we may receive additional information you choose to provide. Any personal and/or health-related information submitted through the MyCase portal, or any other methods, is governed by HIPAA rules and regulations, in addition to this Site’s Privacy Policy. 

 

Our Use of the Information You Provide Us 

We may use the information that you provide and that we collect for the following purposes: 

  • To provide the services you request. 

  • To respond to online inquiries and requests about our services, provide you with relevant information and facilitate access to our resources or services. 

  • To communicate with you about our services, updates, support, feedback, and administrative messages by telephone, email, SMS messaging and/or post. 

  • To recommend opportunities to engage with or contact other organizations and services in the form of referrals, and to manage any referrals that may be established. 

  • To manage and review our internal processes and policies with relation to your and/or other clients' business with us. 

  • To enforce the terms and conditions that govern our services. 

  • To prevent, identify, investigate and deter fraudulent, harmful, unauthorized, unethical or illegal activity. 

  • To cooperate with public and government authorities, courts or regulators in accordance with our legal obligations under applicable laws to the extent that this requires the processing or disclosure of personal information or is necessary for our legitimate interest in protecting personal property or safety, complying with judicial proceedings, court orders or legal processes, or responding to lawful requests. 

 

Data Sharing and Protection 

Only GWLS employees may request or solicit information from clients or applicants for legal services as such information may pertain to their legal problems, eligibility or internal processes. Exceptions to this are made for consultants working under contract with GWLS or under supervision of a GWLS staff partner, or authorized volunteers engaged with the delivery of legal services under the supervision of a GWLS staff partner. Your information, whether public or private, will not be shared, disclosed, sold, rented, exchanged, transferred or given to any third party, company or organization for any reason without your express consent and knowledge. 

If we share data with trusted partners and/or affiliates to help us perform tasks of case management, statistical analysis, communications with you, deliveries, customer support, or other tasks necessary to operate our services fully and as permitted by law, such third parties are prohibited from using your personal information beyond the provision of these services to us. We do not share your personal data with third parties for any direct marketing purposes. We may aggregate (combine) data about visitors to our Site and other client information for our business purposes unrelated to your use of the Site.  

No member of the public, of the GWLS Board or of GWLS's partnerships shall have access to confidential or privileged communications between GWLS staff and clients or applicants, unless such client or applicant consents to provide confidential or privileged information in full knowledge of the rights that may be waived or jeopardized by providing confidential or privileged information outside of the attorney-client relationship. Except as described above, we do not disclose the identities of visitors to the Site or clients unless legally required to do so, or unless we believe in good faith that sharing is necessary, to protect your or others' safety or rights, to investigate fraud, or to respond to a government request. 

 

Data Collection for Purposes Beyond Our Control 

Some content linked to or hosted on the Site are served or managed by third parties, including servers, content providers, application providers and social media buttons. These third parties may use cookies and/or other tracking technologies to collect information about you as you use our Site, or to manage the information collected from you through our Site. The information these services collect may be associated with your personal information and/or your online activities over time across different websites and online services, in order to use this information to provide you with interest-based advertising or other targeted content. We do not control these third parties' tracking technologies or how they may use the information they collect. We are not responsible for the privacy policies, content or data practices of other websites, whether linked to on our Site or not, whose privacy policies should be reviewed before sharing any identifying personal information through them. This Policy does not govern the collection and use of information by companies that GWLS does not control, nor by individuals not employed or managed by us. 

 

Cookies and Tracking 

Like most websites, GWLS uses "cookies"—small text files stored on your device that provide functionality to our Site. Cookies can be used to remember your preferences, enhance functionality, and analyze how you interact with websites. We use both essential cookies, which are necessary for basic functionality, and analytics cookies, such as Google Analytics, to measure audience engagement and understand usage patterns.

  • Online activity: e.g., pages you visit, time spent on each page and how you navigate through our Site.

Please note that we do not control cookies set by third-party service providers. These third-party cookies may collect data for their own purposes, such as targeted advertising. GWLS does not use cookies to retrieve information unrelated to your interaction with our site.

You have the right to contact us about your identifying personal information and your interactions with our services:

  • To allow, consent to or request that your data be transferred to another organization, party, government agency, or to yourself, under certain conditions. 

  • To limit, via the settings in your browser, the collection of device information in the form of cookies and to send automatic “Do Not Track” requests for the websites you visit. 

 

We may update this Privacy Policy based on feedback from staff or clients. We encourage you to review this policy periodically to stay informed of how we collect and use your personal information. Any changes will be posted on this page, and the revised policy will be effective at the time of posting.
